The LCB is announcing an opportunity for an Administrative Assistant 2 in the Enforcement and Education Division. The Administrative Assistant 2 (AA2) reports to the Administrative Assistant 5 and supports the headquarters management staff and division staff statewide and is involved in the new Officer and Investigative Aide (IA) hiring processes. By using independent judgment you will establish priorities to develop and/or modify work methods, procedures or strategies to solve new or unusual problems throughout the division. Additionally, the AA2 is responsible for managing all enforcement equipment and the division vehicle fleet. DUTIES:
Route and distribute all correspondence, complaints, licensing actions and monitors timeliness of response. Receive and screen phone calls and visitors.
Prepare letters and reports, research and summarize information for supervisor, prepare agendas, schedule and attend meetings.
Maintain confidential filing systems and coordinate archiving with agency record retention policies.
Responsible for the statewide enforcement vehicle fleet. Schedule appointments between staff and Motorpool for vehicle lights and radio installations. This includes new hire and exiting staff (car turn in or issuance). Transport vehicles between locations for maintenance or reissue.
Keep records of transfers and surplus documentation and is in charge of the headquarters equipment inventory.
Liaison between the Support Service and Enforcement division to ensure all equipment assets are recorded.
Determine office needs for supplies, forms and orders as necessary for the Office staff.
Coordinate purchase and/or repair of equipment. Recommends items from vendors for equipment purchases; and forwards findings to finalize purchases.
Run bi-monthly statewide DUI catalogs and emails them to the WSP.
Prepare and route confidential documents for management staff.
Serve as the back-up to the Customer Service Desk providing service to the public pertaining to enforcement division questions as well as processing signage requests, issuing and mailing keg books, processing and submitting complaints , and advising the public of how they can contact their local enforcement officer. Problem solves banquet application issues with customers.
Serves as a back-up to the Hearings Coordinator during the positions absents
QUALIFICATIONS:
Required Qualifications
High school Diploma or equivalency
Four years of office support experience at the senior clerical level
Must be knowledgeable and proficient using the Microsoft Office Suite programs including Outlook.
Desired Qualifications
A Bachelor's degree in business administration, public administration or closely allied field
Clerical or office work experience may be substituted for education on a year-for-year basis, provided at least one year included experience at the Administrative Assistant 1 level. Special Requirements
Must successfully pass a criminal history and fingerprint background check
Must successfully pass a credit check
Must successfully pass a pre-employment drug/alcohol screening
Must maintain a valid Washington State Driver's license
Must obtain and maintain a Notary of Public, within six months of hire
