. This position is located in the Historic Preservation Office (HPO) of the Office of Planning (OP). The incumbent’s primary responsibility is to provide substantive administrative and management support contributing to the effective and efficient operation of the office and/or its program(s). The incumbent uses considerable discretion and independent judgment in the performance of duties.
The Office of Planning has the lead responsibility for planning the physical and economic development of the District of Columbia. The Office of Planning provides vision, framework and principles to guide public and private planning and development decisions. The Office supports and coordinates efforts to promote sound comprehensive planning; encourage housing and neighborhood enhancement that supports both growth and historic preservation; to promote the local economy and to retain, expand and attract new businesses. In addition to historic preservation, the Office of Planning is responsible for interagency and intergovernmental coordination of planning efforts, zoning analysis and development project review, information technology services, and statistical services of the official Census State Data Center.
The incumbent performs and supervises the following tasks:
Manages and controls incoming applications, correspondence, forms, and assignments. Ensures that all documents requiring the supervisor’s signature or agency action are recorded and routed to the appropriate staff.
Prepares informational materials, public notices, and public announcements for posting on the agency website and general public distribution; posts materials on the agency website and through electronic and social media; identifies and prepares required issuances for presentation to the supervisor and for public distribution.
Reviews documents prepared for the agency website or supervisor’s signature to ensure that the materials are grammatically accurate and that all supporting documents are provided.
Ensures that the practices and procedures used by the staff are consistent with those of the office. Develops guidelines and procedures related to correspondence, and maintains various types of logs, records, and filing systems for the Office. Develops and maintains a comprehensive annual calendar of activities, programs, and requirements.
Develops and maintains office systems and procedures, ensuring that the accuracy, timeliness and feasibility of a variety of administrative support functions are carried out appropriately. Ensures timeliness of programs and activities and attainment of identified objectives. Recommends procedural changes to improve, expedite and eliminate office management problems.
Serves as contact for service delivery appeals from constituents to whom no reply or service has been provided. Ensures that contacts are provided with accurate information or referred to the appropriate staff member when information is not readily accessible.

Qualifications
Specialized experience is experience which is directly related to the line of work of the position and has equipped the applicant with the particular knowledge, skills, and abilities to successfully perform the duties of the position to include but is not limited to overseeing and coordinating the preparation and submission of financial and annual reports and other documents necessary to meet funding institutions’ requirements; implementing the historic preservation public outreach and education programs including the annual preservation awards program and other related public events.
EXPERIENCE AND EDUCATION Graduation from an accredited four-year college or university with a relevant bachelor’s degree and at least three (3) years of relevant work experience that demonstrate knowledge of the specialized subject area of the position, at least one year of which must be equivalent to the CS-11 grade level in the District of Columbia government service; or an equivalent combination of education, training, and experience.

PHYSICAL DEMANDS
The work is predominately sedentary; it does require some walking and standing to make presentations and surveys, inspections, site visits throughout the city.
