POSITION

Tarragon Northwest is searching for an experienced, detail and task-oriented Admin Assistant. Actively assists with the Records Management (RM) Program. Maintains, recommends, and implements RM Program improvements under the direction of the Corporate Records Manager. Additionally, responsible for answering incoming calls and directs callers to appropriate personal.

ESSENTIAL JOB FUNCTIONS

  • Responsible for support of company-wide policies, procedures, strategies and guidelines used for implementing the requirements of the Records Management (RM) program.
  • Work with the corporate-wide records and information management software application.
  • Manage the transfer and maintenance of physical record inventories in Walla Walla; ensure proper. identification and security for archived records.
  • Respond to requests for records including conducting complicated database searches for information, retrieval of physical records, and providing copies to requestor.
  • Provide support to Executive Staff as needed; assists team with special projects as needed.
  • Creates, organizes, retrieves, archives and maintains corporate files/records.
  • Identifies and resolves problems in a respectful and timely manner.
  • Follows policies and procedures and completes administrative tasks as directed and on time.
  • Retrieves, messages from voicemail and forwards to appropriate personnel.
  • Answers incoming telephone calls for multiple businesses, determines purpose of callers, and forwards calls.
  • Takes and delivers messages or transfers calls to voicemail when appropriate personal is unavailable.
  • Answers questions about organization and provides caller with address, directions, or other information.
  • Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
  • Updates conference room appointment calendars.
  • Receives, sorts, and routes all incoming and outgoing mail, and maintains and routes publications.
  • Maintains fax & copy machines, assists users, send faxes and retrieves and routes incoming faxes.
  • Orders, receives, and maintains office supplies.
  • Maintains conference rooms, kitchen areas, prepares coffee and restocks kitchen supplies.
  • Preforms other clerical duties as needed, such as filing, photocopying, and collating.
  • Always maintains strict confidentiality.

REQUIRED QUALIFICATIONS

Education, Training and/or Experience

  • Must be comfortable working in a fast-paced environment, excellent organizational skills.
  • Self-directed; ability to work with minimal supervision and excellent telephone etiquette.
  • Must have excellent attention to detail and ability to prioritize projects/workload.
  • Good working knowledge of Microsoft Office Programs is essential.
  • Experience in YARDI, SharePoint, and GIS/Mapping programs a plus.
  • A high school diploma or equivalent is required.
  • 1 to 2 years of relevant administrative/project related experience.
