Job Description :

As an Online Business Project Manager you will report to the COO, as well as assisting the CEO, in many aspects of our online marketing and project execution strategy. In this role, you must be able to multi-task, work well under pressure, have strong computer, communication, leadership, team management and interpersonal skills and be able to provide confidential administrative support.

This position requires an impeccable work ethic and the ability to deliver outstanding project results. We work with multiple projects at a time and are looking to you to take ownership and eventually oversee all projects in our exciting and fast changing environment. Your ability to pivot and adjust priorities quickly is an absolute must.

You will be expected to participate and provide back up and support for all aspects of the organization. In addition, you will undertake research on business projects, answer emails, collaborate with team members, write reports and letters, and be available to help in any way with the launch and ongoing management of our online projects, particularly the preparation and launch of a new book releasing in Fall 2018.

We are an online based company, so you will become extra proficient with technology, researching on the Internet and open to learn new software applications. You must always be flexible with time and personality, and be able to handle stress in a productive way.

This is initially a part-time position with expected workload to fall between 15-30 hours per week. The intent is to grow into a full-time position within 3-6 months as we ramp up efforts towards our book launch and ensure that it is a good fit on both sides. Our Online Business Project Manager is expected to become the COO’s “right hand” person, and an integral part of our business and marketing efforts, with massive growth potential. 2018 Business Goals That You Will Be Supporting:

  • Launch a podcast and hit iTunes new and trending (Q1)
  • Create and launch an online course about Hormones and Essential Oils (Q2)
  • Generate a larger affiliate network and successfully launch a best-selling book with a backend course offer (Q3)
  • Optimize and improve existing marketing funnels, including Facebook ads, email campaigns, webinars and online course sales (Year-Round)
  • Create new A-Z marketing funnels, including lead capture, “tripwire” sales, email nurture, landing page creation, forms/integrations, remarketing, core offering sales and more (Year-Round)
  • Email re-engagement campaigns and email list clean-up (Year-Round)
  • Finding new and cost-efficient lead capture methods (Year-Round)
  • Finding new opportunities for brand exposure, such as podcast and summit appearances, TV appearances, etc. ( Q2/Q3)

Job Expectations :

  • keeping tabs/general overview on all projects going on in the business as well as a pulse on all team members’ tasks. (This includes understanding team priorities so you know which tasks and projects can be pushed out vs. which need immediate attention)
  • staying extremely organized and responsive through email, Asana/Trello, and any other team communication channels such as Skype/Slack, to ensure timely replies to questions so team can keep moving forward
  • delegating tasks and projects (thinking through steps involved, when to do it yourself vs. when to pass it on, who to pass it on to, etc)
  • coordinating with the core team as well as outside contractors, setting reasonable deadlines, and clearly outlining easy-to-follow directions to eliminate unnecessary back and forth (including use of screenshots, screencasts, audio messages, meetings, etc when necessary)
  • deciding when to make judgement calls yourself vs. when to go to executives for more instruction, and batching questions and priorities for them as much as possible
  • thinking through tech and tool needs on an ongoing basis to assist with completing projects
  • questioning processes - thinking through a project from beginning to end, both big picture and detailed steps, to identify any holes, and working to solve those. This idea should be implemented on a small scale (things like explaining tasks to team members) to large scale (designing full project plans)
  • being a self-starter - this role requires a certain level of intuition on how and where to prioritize, so it’s extremely important that you don’t need constant instruction for next steps and are able to understand the general flow of work to be done

Job Responsibilities :

You will be overseeing the project management related to the Dr. Mariza website, including but not limited to:

  • Building out project plans for all one-time projects
  • Overseeing the execution of all one-time projects and some ongoing, including project management software scheduling, task management, vendor management and constant communication with COO
  • Take ideas from COO/CEO from conception à execution, deciding on which team members to utilize and assign tasks to, and what to do yourself
  • Building Standard Operating Procedures (SOP’s) for ongoing projects
  • Management of Virtual Assistant tasks and priorities
  • Many of the specific tasks mentioned below can be assigned to the VA and other members of the team such as design, writing, etc. We will rely on your discretion to ensure tasks are completed at the expected level of quality, and assigned to the appropriate individuals.
  • Management of writing team priorities
  • Oversee and assist in the execution of several day-to-day tasks, including blog posting, email newsletters, monthly reporting, and more.

Weekly :

  • Oversee Project Management (Asana or Trello)
  • Website
  • Oversee minor changes, fix typos, adjust code/ design/ formatting for small fixes, plugin and WordPress core updates
  • Work with Content Manager and VA to get articles posted on blog and ensure SEO improvement
  • Help to prioritize writing queue and content calendar
  • Work with Designer to improve overall appeal
  • Work with IT Specialist to ensure a user friendly experience and fast page-load times
  • Schedule and forecast needed improvements and functionality

  • Work with COO & VA to move future projects along (including set up of automation rules/tags/segments, building and editing sequences, editing templates, importing subscribers)
  • Work with executive team on their improvement ideas

  • Help with list hygiene, and creating engagement tags to ensure optimal email deliverability

  • Oversee and assure the efficient and timely execution of the following weekly and ongoing tasks in our marketing calendar:
  • Weekly email newsletter broadcasts
  • One-time affiliate email broadcasts (several per month)
  • Weekly blog posts – ensure execution and schedule (articles are written

  • Check the following platforms for campaign performance and alert COO of any trends of irregularities Google Analytics:

  • SOP Guide - work with team to help create processes and manage the Standard Operating Procedures (SOP) and keep them organized.

  • Oversee blog creation process by writers and VA
  • Ensure comments on website are being approved and moderated by VA

  • Create monthly summary of task backlog/priorities to review with COO
