Guest Service Assistant

For our projects, our interdisciplinary team works with outstanding external partners and technology/shared economy start-ups, to identify new opportunities and develop innovative concepts.

We are launching A/D/O- a new creative environment in Brooklyn, open to the public but tailored to design professionals, providing them a space to work, develop and play. The breakthrough concept will comprise public and private workspaces, a curriculum of design talks and workshops, a prototyping lab, a library of design resources, a world-class restaurant, a design shop and a full calendar of cultural events.

We are looking for a Guest Service Assistant to support the operations team in keeping the A/D/O facility running smoothly on a daily basis.

Specific responsibilities include:

Reception Desk

  • Welcome A/D/O visitors at main entrance by greeting, directing and announcing them appropriately
  • Direct visitors and members based on an intimate knowledge of the facility, the staff, the organization and its mission
  • Give instructions and answer questions, field complaints and specific customer requests
  • Answer, screen and forward any incoming phone calls & emails while providing basic information when needed
  • Receive and sort daily mail/deliveries/couriers
  • Maintain safe and clean reception area by complying with procedures, rules, and regulations

Administrative & Back Office Support

  • Perform clerical duties such as filing, printing, scanning, etc.
  • Support Managing Director and senior employees of A/D/O in booking travel, filing paperwork and calendaring as needed
  • Support Operations leadership in managing inventory and restocking office supplies and equipment; assess needs and support with tracking running costs on an ongoing basis

Communication & Social Media Support

  • Monitor general inbox and respond/distribute appropriately
  • Generate, edit, publish and share daily content
  • Moderate content in line with the moderation policy
  • Create editorial calendars and syndication schedules
  • Manage communication; messages, comments etc through social channels
  • Collaborate with A/D/O team members to manage social presence & TOV

Facilities Management Support

  • Maintain security by upholding and training others in standard operating procedures
  • Troubleshoot and/or escalate issues / emergencies as appropriate
  • Assist in ongoing development and implementation of facility policies and procedures, including proactively recommending opportunities for improvement
  • Assist the operations team in supervision and support of vendors, contractors and other auxiliary staff such as security guards, maintenance personnel, etc.

Additional responsibilities as needed.


  • 2+ years experience in office management, reception or similar, ideally in a creative industry; or front-of-house experience in hospitality, service, retail industries or equivalent
  • Impeccable customer service & general people skills
  • Super-sharp attention to detail
  • Excellent organization, time-management and creative problem-solving skills
  • Ability to keep a cool head while organizing, multitasking, prioritizing under pressure
  • A proactive disposition and patient, positive demeanor
  • Extremely flexible schedule
  • Very punctual individual
  • Availability on the weekends a MUST
